Rupert Firmstone censhare UK
Editorial - censhare Publishing System
Dear Readers,

In my first newsletter from censhare (UK) I would like to take the opportunity to make a brief introduction, explain our philosophy and our background and also provide some details about the projects we are currently running in the UK and across Europe.

Our company is built on classical values of honesty, openness, strength and reliability. We strive to set the highest industry standard and our company is determined to offer the most up-to-date technological advancements along with unrivalled specialist knowledge and expertise at both a high strategic level and at project delivery level.

In the short time we have been in the British market, I believe we have set a number of major benchmarks by running the largest and most complex projects in two publishing sectors: Magazine Publishing and Corporate Publishing. In addition, our success sets a high standard for other companies to follow as we have achieved project objectives and successfully delivered to detailed client specifications and within agreed timescales for both projects.

I would like to thank all the project and technical teams involved at Dyson, The National Magazine Company and also our internal teams, as without their ongoing commitment the success of these projects would not have been possible.

I very much look forward to meeting other companies in the UK who are looking at ways to improve the way they work just like Dyson, The National Magazine Company and Condé Nast have done – please contact me directly to arrange an introductory meeting or visit our website to learn more about what we are doing.

Yours sincerely
Rupert Firmstone
CEO, censhare (UK)

The National Magazine

The National Magazine Company has recently signed an agreement with censhare (UK) to integrate censhare Publishing System across all 20 magazine titles. The National Magazine Company (owned by Hearst Corp, USA) is one of the UK's largest consumer magazine publishers with around 1,000 staff based in central London.

The first title "Company Magazine" has been successfully integrated and all criteria for the first phase of the project have now been achieved. Over the next nine months, the remaining titles will be moved onto the system and the final title is set to be migrated in September 2009.

censhare is being used to store and manage all of the company’s digital assets. Everyone involved in the complete process of producing each magazine, from editorial staff, legal teams to the art department, is part of a workflow in a single Oracle database. The censhare flat plan also integrates with the advertising booking system to provide complete transparency across all processes.

"I looked at all the familiar vendors and solutions and it was looking increasingly like there was no one solution to my publishing systems needs. I saw workflow solutions with poor DAM or DAM systems with poor workflow and had pretty much decided I would need to buy two solution to meet the business needs. With censhare I believe I have all our needs covered in one solution. At it's core is a mature publishing solution made up from a flexible workflow system wedded to a industrial strength DAM."

Sean Briggs, Group Publishing Systems Manager, The National Magazine Company, UK

Dyson

Dyson has started using the censhare Publishing System to plan and produce all printed marketing material and packaging in 25 languages. About 200 staff are using the system as a workflow, approval and production tool across the company's marketing and creative functions to create, manage and store digital assets and marketing information.

All timings for the complete process, from writing the creative brief to the production of a print ready PDF, is controlled using the censhare Publishing System. Everyone involved in the entire process is integrated in a comprehensive workflow.

censhare Java client integrates tightly with Dyson's existing creative tools which includes Adobe InDesign CS3 and Adobe InCopy CS3. censhare web client enhances functionality for external users to allow integration into the workflow without the need for specialist software.

“Dyson has done an extensive review into new asset management systems for our creative and production publishing needs. The decision to go with censhare was a considered one as it promises to meet not only our asset management needs, but also help to improve our systems and workflow, driving through work with schedules and better planning and visibility in multiple locations.”

Nancy Crisp, Head of Creative Services, Dyson.

Condenast

Condé Nast Germany have been using censhare Publishing System for a number of years and following their success, Condé Nast Russia has now decided to implement the system across all of its titles at their headquarters in Moscow.

Following the successful initial production of GQ magazine in December 2008, the Russian editions of Vogue, Glamour, Tatler, AD, and GQ Style will be migrated to censhare by summer 2009. More than 200 users will then be able to work in a single workflow system.

censhare controls the access rights for all assets stored within the system. The processes for producing the titles are managed by the censhare Editorial Workflow module and the censhare Flat Planning module. The censhare Workflow Management tracks all deadlines and guarantees status with visibility over the entire process at any time and by everyone involved.

The connection to the advertising booking system and the active directory ensures tight integration into Condé Nast’s existing infrastructure. The censhare Editorial System integrates with Adobe InDesign and InCopy directly and controls the InDesign Server.

“Along with numerous automations and streamlined processes, censhare presents us first of all one thing, which is transparency regarding all processes and workflow in an way that was previously not possible. And not only for the planning, but also for everyone involved. Status information for workflows and workflow steps increase the overall control and the flat planning provides a visual overview of the status of an entire publication. The more I use the application, the more I like it!”

Alexandr Voznesensky, IT Director of Condé Nast Russia.

Digital Ad Lab
We are pleased to announce that as from the 1st February 2009, censhare (UK) has become the principle sponsor of Digital Ad Lab UK, replacing the former sponsor, Quark Inc.

Digital Ad Lab UK (DAL UK) is an independent, open forum for those involved in all aspects of digital workflows. It provides a platform for participants to discuss issues relating to the successful creation and reliable delivery of secure digital files.

DAL UK promotes and facilitates the adoption of effective and efficient 100% digital workflows through the exchange of ideas and discussion of issues and best practices at open industry meetings.

"I believe that censhare is one of the most knowledgeable and experienced consulting companies to the publishing industry in Europe having worked on over 150 customer sites and with over 15 years of publishing experience. Our goal is to promote a better way of working and to set the standards for best practice across the publishing industry. We have been achieving this goal within current projects and we encourage other companies to challenge the way they work at a strategic level. Digital Ad Lab UK, with its independent forum, is the perfect vehicle to facilitate this. We encourage openness, honesty and knowledge sharing within the industry and to support this, almost all of our customers are reference sites."

Rupert Firmstone, CEO, censhare (UK)

"First and foremost, the censhare project team understood our publishing needs. They not only assisted us in creating the required workflows but challenged us along the way to question why we work the way we do."

Sean Briggs, Group Publishing Systems Manager, The National Magazine Company, UK

Adobe

Due to our extensive knowledge and experience in XML-based publishing, Adobe invited the censhare developers to help design the new extended XML format for CS4. InDesign and InCopy CS4 now support the new IDML/ICML format which censhare played a significant role in developing.

In addition, the censhare Publishing System was already updated to support the new Adobe XML format even before the official Adobe CS4 launch date.

The new format offers greater flexibility in censhare with a number of enhancements to existing modules and new functionality; this includes the Translation Memory System and extended integration of MS-Office products.

This particularly benefits corporate clients using complex censhare functionality including variant structures and translation tools to produce documents in many languages using InDesign Server.

“We are seeing increasing pressures on businesses like Dyson to lower print production costs, personalise its marketing and deliver materials faster than ever. Through the censhare Publishing System, Dyson joins a long list of customers across the world that are using InDesign CS3 Server to address these very pressures, helping them to streamline their print-production workflow.”

Jonathan Ferman, Business Development Manager, Adobe Systems

Global Support teams

Global Support teams successfully migrate to censhare tracker for project issues and support incidents Our global support teams have successfully completed migration to the censhare tracker. All customers are now able to log support incidents and project issues through the system. This has greatly increased the efficiency and has helped the support team respond and fix problems faster than ever.

The new tracking system is completely transparent and allows customers to view the live status of logged support calls and project issues, track and monitor who is working on them and add comments as the tickets pass through the system. Historic data is also stored allowing reports to be generated as needed.

Our team is now offering cost effective fully managed services with fast response times of up to 15 minutes on some of our largest sites of 700+ users. This avoids the need for complex Oracle DBA, Unix and XML knowledge in-house.

The censhare server monitoring also notifies our support staff should problems arise and in many cases faults are resolved even before they are reported at user level.

For the production of sensitive and mission critical communication products such as annual reports, top precision and the option to make changes right up to the last minute are both expected. In practice, however, the very opposite is often seen to be the case - information is generated by executives in Word or Excel, and copied into layout programs by other departments; this often ties up considerable resources. The manual process is often the cause of many errors and the changes at short notice become very difficult.

To provide a solution, censhare has developed Extended Excel Integration, which allows placement of Excel tables in Adobe InDesign layouts in a way that both the contents and formats can be changed afterwards in Excel. Changes are transferred automatically to all layout files in which the table is placed. When used in combination with censhare Translation Memory System, texts such as column-headlines are even translated automatically in all variants of the layout. This avoids the need for complicated correction cycles and allows all users to have the very latest status in front of them at all times. Publications can be updated right up to the production deadline in a simple and error free way.

"censhares' integration between standard Excel and InDesign documents allows for changes made in the tables to be automatically updated into the layouts whilst adhering to corporate guidelines."

Philip Arnold, Senior Project Manager & Annual Report Specialist, censhare (UK)
